Point Guard Management (PGM) is a full-service property management company specializing in residential and commercial leasing across Kansas,Oklahoma, Nebraska, Texas and South Dakota. By handling everything from marketing and tenant screening to biannual inspections, rent collection, and eviction services, they aim to maximize occupancy and preserve property value through hands-on, comprehensive support.

To continue delivering world-class service to clients, as well as save time and resources for their team, PGM wanted to streamline processes and move from usingGoogle  Sheets  for  organization  to  something  that would  provide  an  “all-in-one  solution”  to  increase efficiency. The answer to their pain points was PropUp.

The Challenge

PGM wanted to create a way to innovate its inspection process, identify issues quickly and communicate instantly when a units were ready for market after tenants moved out. They needed a solution that would: Reduce the time it took to walk through unit inspections

The Solution

Faced with fragmented workflows and time-consuming manual inspections, the property management team needed a more scalable solution. Executives at PGM partnered with the team at PropUp to add new features to the PropUp app that would allow users to better organize their daily activities, including video inspections, which drastically saved time on in-person walk through unit inspections and materially reduced go-backs. PGM also wanted to increase quality control across their portfolio.


Now using the app as part of their daily workflow, team members can look at their day at a glance, speak to their vendors and set up appointments, as well as get a better idea of when units are ready for a final walk, or if additional work is required. This digitized process saves team members time and the organization money by reducing time staff members spend in the field verifying unit conditions and make-ready status.

Inspection reports have improved dramatically with the introduction of in-app photos and video and enables the PGM team to schedule and confirm vendors far in advance, thereby reducing time-to-turn. Team members can do an initial walk, and once uploaded and submitted, someone in the office can instantly review the report, and have the work request for the make-ready immediately assigned.

PropUp’s advanced inspection app, with new features like mobile video inspections, has revolutionized how PGM plans, conducts and follows-up on its move-out, make-ready and punch-out inspections, while reducing overall time-to-turn and maximizing available units for marketing.

Allowing PGM to beta test the app while PropUp built their new features, meant that PGM could provide ongoing input and get greater buy-in from its team. PGM continues to be an active beta tester with PropUp.
